Everything you need to know about ERPNext inventory management for Omani businesses: multi-warehouse set-up, FIFO vs moving average valuation, batch and serial tracking, FEFO, reorder alerts, stock reconciliation, perpetual inventory accounting and key reports. The ERPNext software licence is OMR 0. At Namaaly, the Inventory module adds OMR 300 to the base implementation of OMR 900.
Why Omani Businesses Struggle With Inventory — and What ERPNext Fixes
Many manufacturing and trading businesses in Oman manage inventory across three disconnected tools: purchases in accounting software, stock in Excel, and billing in a separate invoicing or POS tool. Every transaction creates manual work: update the Excel when goods arrive, update it again when goods go out, then reconcile at month-end when the numbers do not match.
| The manual inventory problem | With ERPNext — how it changes |
|---|---|
| Stock Excel is updated by hand after every goods receipt and delivery | The Stock Ledger updates automatically when a Purchase Receipt or Delivery Note is submitted |
| The stores team walks to the bins to check availability | Live stock balance on any screen, per warehouse and per item, in real time |
| Stock value in Excel does not match the accounts, and reconciling takes days | Perpetual inventory posts every stock movement to the general ledger, so stock value always matches the accounts |
| Batch and expiry dates are kept in a paper register, and FEFO is not enforced | Batch tracking with expiry dates. FEFO can be set up and enforced at issue and sale |
| Low stock is noticed only when an item runs out and work stops | Reorder alerts fire automatically when stock reaches your minimum level |
| VAT invoices and delivery papers are prepared separately, with double entry | The Delivery Note and the 5% VAT invoice come from the same record, with Fawtara e-invoicing where it applies |
ERPNext Stock Module — What It Covers
The Stock module is ERPNext's inventory management system. It is not a stand-alone tool: it is fully joined with the Purchase, Sales, Manufacturing and Accounting modules. Every inward movement (purchase receipt, stock entry, production output) and every outward movement (delivery note, sales invoice with stock update, material issue) updates the Stock Ledger in real time.
Every document that moves stock creates a Stock Ledger Entry. This is the single source of truth for every quantity and value change, the base of every inventory report and the source of all accounting entries for inventory.
Multi-Warehouse Management
ERPNext organises warehouses in a tree: parent nodes are groups, and leaf nodes are the physical locations where stock is held. One company can see each location separately and also see a combined view.
Warehouse Trees Used by Omani Businesses
- Manufacturer with 2 plants: All Warehouses → Sohar Plant (Raw Material Store, WIP Store, Finished Goods) → Rusayl Plant (Raw Material Store, Finished Goods)
- Distributor with 4 branches: All Warehouses → Muscat Branch → Sohar Branch → Salalah Branch → Nizwa Branch
- Pharmacy group: All Warehouses → Main Store (Good Stock, Quarantine, Rejected, Sample)
- Free zone company: separate warehouses for stock held in the free zone and stock held on the mainland, so each can be reported on its own
Each leaf warehouse can map to its own accounting ledger. With perpetual inventory switched on, which we recommend for every business, each movement posts to the mapped ledger automatically, so the balance sheet shows the current value of each warehouse's stock with no manual journal.
Stock Transfer Between Warehouses
Moving raw material from the main store to the production floor, finished goods from one plant to another, or returns to quarantine uses a Material Transfer Stock Entry. The source warehouse goes down, the target goes up, and if the two are mapped to different cost centres the accounting entries follow. No manual journal is needed.
Stock Valuation — FIFO vs Moving Average
ERPNext values inventory perpetually: every movement updates both the quantity and the value of stock through the Stock Ledger. The valuation method decides how the cost of each outgoing unit is worked out, which directly affects cost of goods sold (COGS) and closing stock value.
FIFO — First In, First Out
FIFO assumes the oldest stock is used first. ERPNext keeps a queue of cost layers for each item and warehouse. Each purchase receipt adds a layer at its actual cost, and each issue or sale uses layers from the front of the queue at their original cost.
FIFO worked example — MS Flat Bar 25×6 mm (illustrative prices)
| Transaction | Qty | Rate (OMR/kg) | Queue After | Stock Value |
|---|---|---|---|---|
| Purchase 1 — 1 Oct | 100 kg | 0.420 | [100 @ 0.420] | OMR 42.000 |
| Purchase 2 — 15 Oct | 100 kg | 0.460 | [100 @ 0.420][100 @ 0.460] | OMR 88.000 |
| Issue to production — 20 Oct | 120 kg | FIFO: 100 @ 0.420 + 20 @ 0.460 | [80 @ 0.460] | OMR 36.800 |
The 120 kg issued is valued at 100 × 0.420 + 20 × 0.460 = OMR 51.200. That is the COGS. The remaining 80 kg stays at OMR 0.460/kg, the actual cost of that batch.
When to use FIFO: when raw material prices change a lot between purchases, such as steel for fabricators, commodity goods for traders, or raw materials for pharma. FIFO matches actual purchase cost to actual use, so COGS is most accurate.
Moving Average
Moving Average works out a running weighted average cost of all stock on hand. Each new purchase changes the average, and each issue or sale is valued at the current average, not the cost of a particular batch.
Moving Average worked example — same transactions
| Transaction | Qty | Rate (OMR/kg) | Avg Rate After | Stock Value |
|---|---|---|---|---|
| Purchase 1 — 100 kg @ 0.420 | 100 kg | 0.420 | 0.420 | OMR 42.000 |
| Purchase 2 — 100 kg @ 0.460 | 100 kg | 0.460 | 0.440 | OMR 88.000 |
| Issue to production — 120 kg | 120 kg | 0.440 | 0.440 | OMR 35.200 |
The issue is valued at 120 × 0.440 = OMR 52.800, and the remaining 80 kg stays at the average of OMR 0.440/kg. Moving Average smooths the effect of price changes across all stock.
When to use Moving Average: when purchase prices are stable or change slowly, or when management accounts use average cost for simplicity. It is easier to explain to non-accountants: everything is issued at the current average cost.
| Factor | FIFO | Moving Average |
|---|---|---|
| Cost accuracy | Highest: each issue valued at actual purchase cost | Averaged: smooths price changes |
| Best for | Changing raw material prices (steel, commodities, pharma inputs) | Stable prices, FMCG, standard costing |
| Batch costing | Each batch keeps its purchase cost until used | All batches share one running average |
| COGS behaviour | Rises with older cheap stock and falls when new expensive stock arrives | Smoothed, with gradual change as prices move |
| Where to set it in ERPNext | Item master → Valuation Method (overrides company default) | Stock Settings → Default Valuation Method |
| Can you mix methods? | Yes. Different items can use different methods in the same ERPNext site | Yes |
Perpetual Inventory — Stock Value Always Matches the Accounts
The most important inventory feature in ERPNext is perpetual inventory: every stock movement is posted to the general ledger automatically. With it switched on (the recommended setting), every Stock Ledger Entry creates a matching General Ledger Entry with no manual journal.
- Purchase Receipt submitted: Inventory (Stores) account debited, Stock Received But Not Billed account credited
- Purchase Invoice submitted: Stock Received But Not Billed debited (cleared), supplier account credited, with 5% VAT recorded
- Delivery Note submitted: Cost of Goods Sold debited, Inventory (Stores) credited, at the FIFO or moving average rate
- Material Transfer: source warehouse account credited, target warehouse account debited
- Stock Reconciliation: the difference goes to the Inventory Adjustment account (positive for surplus, negative for shortage)
The result: stock value on the balance sheet always equals the sum of all Stock Ledger Entries. There is no separate month-end stock entry and no matching of the stock ledger against the accounts ledger. The accountant who opens ERPNext on the last day of the month sees the same stock value that the stores team sees in the stock balance report.
Batch Tracking, Serial Numbers and FEFO
ERPNext supports two kinds of item-level traceability: batch tracking for items managed by production batch or lot, and serial number tracking for items where each unit has its own identity.
Batch Tracking — Pharmacy, FMCG, Food, Chemicals
For items with batch management enabled, every inward transaction needs a batch number. The batch holds:
- Batch number, assigned at purchase or production
- Manufacturing date and expiry date
- Current quantity still in stock
- Supplier batch number, stored next to ERPNext's own number
Every outward transaction (Delivery Note, POS Invoice, material issue) needs a batch selection, and the batch balance is tracked in real time. You can find every delivery that used a given batch within seconds.
FEFO — First Expiry, First Out
FEFO is a batch selection rule you can switch on in ERPNext. When it is on for an item, the system suggests the batch with the earliest expiry at the time of issue or delivery. This stops newer stock being picked before older stock that expires sooner, which matters for pharmacies, FMCG distributors and food makers, where expired goods create cost and liability. FEFO is set per item, not for everything by default.
Serial Number Tracking — Electronics, Machinery, Tools
For high-value items where each unit needs its own record, such as machinery parts, electronic equipment and tools, ERPNext gives every unit a unique serial number, recorded at purchase and at delivery. From any serial number you can see which purchase it came from and at what cost, which customer received it and when, whether warranty is still active, and where it is now.
Reorder Levels and Material Requests
ERPNext reorder alerts tell the stores or purchase team when stock falls below a set minimum. Reorder levels are set per item per warehouse, so different branches can have different minimums. When stock falls below the reorder point, ERPNext can create a Material Request automatically if the rule is set that way. The request goes to the purchase team to choose a supplier and raise a Purchase Order. The reorder quantity, the amount to buy to bring stock back to the desired level, is also set per item per warehouse.
For manufacturers using MRP (Material Requirements Planning), the MRP run compares the production plan with current stock and open Purchase Orders and creates Material Requests for all shortages at once, not only for items that have each hit their own reorder point.
Stock Reconciliation — Physical Count to System Count
No inventory system is perfectly accurate without regular physical counts. ERPNext Stock Reconciliation updates system stock to match a count. The steps:
- Export the current stock balance report for the warehouse and date
- Do the physical count
- Create a Stock Reconciliation in ERPNext with the warehouse, item and actual quantity
- ERPNext works out the difference (surplus or shortage) and the value effect
- On submit, the Stock Ledger is updated to the count and the difference is posted to the Inventory Adjustment account
For large warehouses with hundreds of items, the reconciliation can be uploaded from a CSV template: export current stock, fill in the counted quantity, and upload it back. ERPNext calculates all differences in one batch.
Goods Movement, Delivery Notes, VAT and Landed Cost in Oman
In India, goods above a set value need an e-Way Bill before they leave. Oman has no e-Way Bill, so there is no extra portal step before dispatch. What ERPNext gives Omani businesses instead:
- Delivery Notes printed with your company details, linked to the Sales Order and the invoice
- Transporter and vehicle details recorded against the Delivery Note
- 5% VAT invoices and Fawtara e-invoicing from the same record, where Fawtara applies to your business
- Landed Cost Vouchers that add freight, customs duty, port and loading charges to the cost of imported goods, so stock value shows the true cost of getting goods to your warehouse, including shipments through Sohar and Salalah ports
- Multi-currency purchasing for imports paid in USD or other currencies, with exchange gain or loss recorded
Please confirm any customs or VAT treatment for your own goods with your accountant or customs adviser. Namaaly sets up the tax templates in ERPNext to match.

Frequently Asked Questions
Does ERPNext have inventory management, and what does it cost in Oman?
Yes. ERPNext has a full built-in Stock module: multi-warehouse, FIFO and moving average valuation, batch and serial tracking, reorder alerts, stock reconciliation and automatic accounting entries. The software licence is OMR 0. At Namaaly, the Inventory module adds OMR 300 to the base implementation of OMR 900.
What is the difference between FIFO and moving average in ERPNext?
FIFO values each item issued at the cost of the oldest stock still on hand, which suits prices that change a lot. Moving average uses one running average cost, which is simpler and suits stable prices. You can set the method per item, and different items can use different methods.
Can ERPNext manage multiple warehouses in Oman?
Yes. You can have unlimited warehouses in a tree, such as one per branch or plant in Muscat, Sohar, Salalah or Nizwa. Each can map to its own accounting ledger. Management sees combined stock, and each location sees its own.
Does ERPNext support batch tracking and expiry dates?
Yes. Each batch has a batch number, manufacturing date, expiry date and quantity. FEFO (earliest expiry first) can be switched on per item. This suits pharmacies, food and FMCG, where expired stock creates cost and risk.
How does ERPNext do stock reconciliation?
You enter the physical count for a warehouse and item. ERPNext works out the difference, updates the stock ledger and posts the gain or loss to the Inventory Adjustment account. For large stores you can upload the count from a CSV file.
Do I need an e-Way Bill in Oman?
No. The e-Way Bill is an Indian requirement and Oman has no equivalent. ERPNext prints delivery notes, records transporter and vehicle details, and issues invoices with 5% VAT and Fawtara e-invoicing where it applies.
Can ERPNext replace separate inventory software?
For most manufacturing, trading and distribution businesses, yes. Every stock movement posts to the ledger and updates purchase and sales documents in one system, so nothing is exported or imported between tools.
Conclusion
ERPNext inventory management is one of the most complete stock modules in any ERP at any price, and the software licence is OMR 0. Real-time multi-warehouse tracking, FIFO and moving average valuation, batch and serial traceability, FEFO, automatic reorder alerts and perpetual inventory accounting cover the inventory problems that Omani manufacturers, traders and distributors face.
The biggest gain is removing the gap between accounting software, Excel and billing. With ERPNext the stock balance, the profit and loss and the balance sheet all come from the same transactions, so month-end matching between systems goes away. The accountant who wants closing stock value on the 4th of the month can read it straight from ERPNext.
